We’re looking for a part-time Executive Assistant & Operations Specialist to support the company’s Founder & CEO, Jeffrey Groeber. This is a great opportunity for a proactive, detail-oriented professional who enjoys keeping things organized and running smoothly behind the scenes. The ideal candidate has strong communication and organizational skills, excellent English, and experience managing calendars, emails, and light CRM tasks.
Key Responsibilities
Inbox management: Regularly monitor, organize, and prioritize the CEO’s emails. Flag urgent items, draft or respond to messages when appropriate, and maintain a clear inbox.
Calendar management: Schedule and coordinate meetings, ensuring smooth communication across time zones and avoiding scheduling conflicts.
Back-office support: Assist with light administrative tasks to support the company’s streamlined back office (e.g., maintaining shared folders, tracking renewals, coordinating small logistics).
CRM support (HubSpot): Spend a few hours weekly maintaining HubSpot—updating contacts, tracking activities, and pulling occasional reports.
Administrative coordination: Support daily tasks, follow up on pending items, and help the CEO stay on top of commitments.
Who You Are
✅ Experienced & dependable: 3+ years in an executive assistant, operations, or administrative support role.
✅ Excellent communicator: Clear, professional written and spoken English; able to correspond confidently with partners and clients.
✅ Organized & precise: You stay on top of details, follow instructions carefully, and create systems that help things run efficiently.
✅ Tech-comfortable: You’re fluent in tools like Google Workspace, Slack, and HubSpot (or similar CRMs).
✅ Self-directed & proactive: You work independently, anticipate needs, and always follow through.
Not Required, But a Plus:
✅ Experience with basic accounting or financial operations.
Working hours:
You’ll need to adjust your schedule to overlap 4 hours between 9 am and 5 pm PST daily (check the time difference via this link). The remaining hours can be flexible, the team cares for the results, not micromanagement.
What we offer:
