This person will play a key role in setting up efficient workflows, optimizing tools, and managing the day-to-day internal operations. You’ll report directly to the founders and focus on improving internal structure and productivity — this role does not involve client interaction.
Key Responsibilities
Set up and manage internal systems, tools, and workflows to streamline daily operations.
Evaluate current tools (Outlook, MyCase) and help implement or transition to Google Workspace and other modern productivity platforms.
Coordinate between internal stakeholders and systems to ensure clear priorities and timely execution.
Create, document, and optimize processes for efficiency, consistency, and accountability.
Research and recommend tools that enhance collaboration, communication, and automation.
Support management with tracking progress, reporting key updates, and maintaining organized digital operations.
Assist in managing online platforms and social media tools as needed.
Requirements
Proven experience as an Online Business Manager, Operations Manager, or Project Manager in a digital or online-first company.
Strong understanding of online business systems and tools — familiarity with Outlook and Google Workspace (Gmail, Drive, Docs, Sheets, etc.) preferred.
Experience implementing or optimizing CRMs, case management systems, or similar tools (MyCase experience is a plus).
Excellent organizational and communication skills.
Ability to work independently, prioritize tasks, and adapt to changing needs.
Strong attention to detail and problem-solving mindset.
Nice to Have
Experience helping small businesses or professional services transition to modern digital systems.
Familiarity with social media tools or platforms for business operations (e.g., content scheduling, analytics).
Basic knowledge of automation tools (Zapier, Make, etc.) and workflow integration.
